The Information Regulator’s guide

Personal information we process

Why we process it, whose it is, who receives it, where it goes outside South Africa and how we keep it safe are set out in our privacy policy, which is part of this manual (PAIA s51(1)(c)). In short:

  • Whose: clients and their contact people, people in client footage, people who message us, prospects, leads from client ads, staff and suppliers
  • Who receives it: the service providers named in the privacy policy, and authorities when the law requires
  • Outside South Africa: to providers in the United Kingdom, the European Union and the United States, under POPIA s72
  • Security: encrypted connections, signed-in access by role, and card details kept only by Paystack

How to ask for a record

  • Use the request form in the PAIA Regulations (Form 2), from inforegulator.org.za, and email it to hello@ripplesm.co.za.
  • Say which record you want, how you want access, and which right you are exercising or protecting (PAIA s53).
  • If you ask on someone else’s behalf, include proof that you may.
  • For your own personal information, you can also simply email us, as our privacy policy describes.

Fees

The PAIA Regulations set a request fee and, if we grant access, fees for searching, preparing and copying the record. We tell you the amount before doing any work. There is no request fee for your own personal information.

Our answer

We decide within 30 days, and may extend that once by up to 30 days if the request is large or needs consultation, telling you why (PAIA s56 and s57). We may refuse only on the grounds in Part 3, Chapter 4 of PAIA, for example to protect someone else’s privacy or confidential commercial information, and we’ll give our reasons.

If you disagree

You may complain to the Information Regulator (PAIA s77A) on inforegulator.org.za, or apply to court (PAIA s78).
